Overall Job Function

Daily processing of customer sales orders through the MRP system and ensure accurate processing of orders. Maintain and update the sales order forecast in alignment with central demand plan.

Job Responsabilities

  • Maintain Sales admin function:
    • Forecast/Budget spreadsheet,
    • Order Book, and
    • Order confirmations
  • Prepare weekly and monthly reports on forecasts, sales and order book
  • Liaise with internal Sales and Project Management to discuss any current client issues relating to orders and resolve customer queries/enquiries regarding order scheduling and confirmations
  • Learning and understanding the companies products, shipsets and contractual obligations to various customer categories including intercompany, 3rd party customers and specific customer programs
  • Ensure orders are within parameters of current contracts and contract requirements are met
  • Supplying necessary order confirmation to customers
  • Liaise with shipping administrator regarding any shipping queries
  • Liaising with Production/Material Planning to ensure sufficient production planned and to obtain accurate ETA’s
  • Liaising with customers by phone/e-mail, answering enquiries with regard to sales orders and order ETAs
  • Filling and maintain master files for sales orders and order confirmations as required by auditors
  • Maintain 5 day order processing target

Job Requirements

  • Matric with a minimum of 2 years Sales administration experience
  • Excellent Computer literacy especially Excel proficiency
  • Experience using Syspro or any other MRP system
  • Good written and spoken English and customer communication skills
  • Good personal management skills with emphasis on timeliness, attention to detail and accuracy is essential
  • Proven attendance record
  • Meticulous record keeping and ability to file and retrieve complex product and contract related information applicable to specific intercompany, 3rd party customers and customer programs
  • The following skills will be advantageous:
    • Bookkeeping experience (recording and organizing of financial transactions)
    • Tertiary education
    • Inventory management
    • Business clerical experience

    • Product knowledge
    • Technical writing
    • Forecasting experience
    • Experience managing a small team 

The work is of such a nature that it requires on site attendance.
